Unlike other online applications that build a system to handle a few features and then add new features without improving the original design, MyWorkHours.com, after analyzing usage patterns and test users, has redesigned the entire system three times making it easier to use than it has ever been. This means you can enjoy additional features without the complexity.
Unlimited Schedules
Being able to create and use an unlimited number of schedules means that whether your organization is large or small you will have the freedom and flexibility to organize your schedules just how you want. Even organizations that have a large number of departments or are spread over a wide geographical area will find the flexibility useful in improving the efficiency and productivity of schedule management.
Unlimited Jobs and Shifts
Being able to create and use an unlimited number of jobs and shifts means you will not have to worry about exceeding system limits. Managers can create and use as many jobs or shifts as they need, when they need it. Managers are given the flexibility they need to manage schedules in the way that works best for them.
Individual Sign In Accounts
Each employee and manager is given their own personal sign in account. This not only helps to keep information and schedules secure, it also helps to ensure that employees only have access to schedules and information that is relevant to them. Employees can be given management access if needed without creating a separate account.
Flexible Management Access
Management Access is given on a per people group basis. This means you have the management flexibility you need. Whether you have just one or two managers, or many levels of management the system will work for your existing management structure.
Employee Online Access
Employees can easily view their work schedules, request time off, post to and access the trade board, fill out and handin timesheets, view available accrual hours (ie vacation, sick, personal, etc.), setup email notifications, and change their password.
Manager Online Access
Managers can create schedules, manage jobs, manage people profiles, setup shift coverage templates, manage schedules, manage the trade board, manage time off, review and approve timesheets, post announcements, create and print reports.

Scheduling Tools
Drag & Drop Shifts
The drag & drop features make setting up schedules fast and easy. If a shift needs to be reassigned just drag the shift to a different spot on the schedule. To duplicate a shift hold the shift key down on the keyboard and drag the shift to a new location. It's that easy.
Right-Click Menu
The right-click menu is simple to use and makes adding, editing, and deleting shifts easy. The right-click menu allows you to modify one or many shifts at the same time. To select multiple shifts or spots on the schedule simply hold the shift key down.
Shift Coverage Template
The shift coverage template lets you setup coverage shifts once and apply them week after week, making only minor changes as needed. Different coverage requirements can be setup for every day of the week. The Build Schedule feature on the schedule applies the coverage template to the specified week making weekly schedule creation quick and easy.
Shift Rotations
Shift rotations allow you to pre-assign shifts using a flexible rotating pattern. You could, for example, assign someone to work the same shift every Monday, or every other Monday, or every three days if you want. You could even have someone work a specific number of days and then have a specific number of days off. Shift rotations are flexible and can be used to meet the needs of your organization.
Auto Build Schedule
The Build Schedule feature allows you to create a schedule based on the shift coverage requirements and the shift rotations specified. This feature makes building weekly schedules quick and easy. Any shifts left unassigned are clearly marked and can be assigned using the Auto Assign feature.
Auto Assign Shifts
The auto assign feature makes optimal shift assignments for an entire week with just one click. This feature not only saves valuable time it helps managers to create reasonable, unbiased schedules. To match people with unassigned shifts this feature automatically considers employee availability, employee skills, requested time off, ideal number of hours per week, maximum allowed hours per week and day, and maximum allowed days per week.
Shift Schedule Tools
The shift tools let you quickly Add, Edit, Delete, Copy, and Move shifts. These interactive tools are easy to learn and use, and allow you to quickly setup schedules. Using the tools you can delete, copy, move, or edit an entire day or week at the same time. The drag & drop features make moving and copying individual shifts quick and simple. The r-click menu makes adding, editing, and deleting multiple shifts fast and easy.
Auto Conflict Detection
The schedule automatically detects and displays conflicts such as when a person is assigned overlapping shifts, jobs they are not qualified for, work during their time off, or more than their maximum allowed daily or weekly hours. The conflicts are indicated on the manager's view of the schedule for quick resolution. This feature saves time and helps to keep managers from making scheduling oversights. It also helps managers to be confident that the schedules they create are realistic and feasible.
Fast Find
The fast find feature lets you quickly and easily navigate to the schedule you are looking for. The responsive interface lets you quickly switch from week to week. You can jump ahead several weeks or months just as easily.
Flexible Views
The schedule can be viewed in a number of formats. The first is a traditional view showing each person's name and total number of hours they have been assigned followed by the shifts they have been assigned for the week. The schedule can also be organized by Job and by Shift Type. These useful formats allow you to see how the transition between employees will occur for each shift throughout the day or week.
Post Schedules Online
Posting schedules online is easier than ever. The online schedule hosting features of your account are fully integrated with the scheduling tools. Once a week's schedule is how it should be, just click the Post Schedule button and instantly everyone on the schedule can easily view the schedule online using their sign in accounts.
Availability
Easily specify when employees are available to work. You can also specify ideal hours per week, maximum hours per day and week, and maximum days per week. These parameters are used by the auto assign feature to schedule each person appropriatly. If a person is manually scheduled contrary to these settings the conflict is automatically detected and displayed directly on the managers view of the schedule.
Management Tools
People Groups
People Groups represent departments, physical locations, and any other logical grouping of jobs and employees. Since you can create an unlimited number of people groups and an unlimited number of jobs you have full freedom, and flexibility to manage your schedules just how you want. Managers can be given management access to the departments and locations that they help to manage.
People Profiles
People profiles are easy to create and manage, and provide significant flexibility over how a person is scheduled. Managers can specify which jobs a person can do, what hours the person is available to work (for every day of the week), the maximum hours per day and week they are allowed to work, the maximum days per week they are allowed to work, and their ideal number of hours to work per week.
Time Off Requests
The systematic approach used to keep track of time off helps to ensure that time off requests, no matter how far in advance they are made, are not lost or forgotten. Employees submit time off requests using their sign in accounts and then managers can easily approve or deny the requests. Allowing people to submit requests at their own convenience can avoid unnecessary scheduling hassels. Time off is even displayed on the managers view of the schedule. If anyone is scheduled to work during their time off this conflict is clearly indicated on the schedule.
Shift Trade Board
If an employee cannot work an assigned shift the employee can post the shift to the trade board. The trade board allows other people to take or trade for the posted shift. Employees can even check the status of the shifts they have posted to the trade board. Giving employees tools and increased control over their schedule helps to boost employee job satisfaction.
Manage Shift Trades
Other than approving and denying trades the trade board requires no manager intervention. All shifts posted to the trade board are verified by the system to be reasonable and doable. Managers can also post shifts to and remove shifts from the trade board, if needed. Managers can even trade shifts for employees.
Timesheets
Timesheets are easily filled out, handed in, reviewed, and approved online. MyWorkHours.com makes timesheets easily accessible to employees and managers online. Timesheets are automatically totaled and displayed in summary format. This helps to highlight total hours as well as overtime and PTO hours. Timesheets in detail or summary formats can be printed from the Reports page.
Accruals (Vacation, Sick)
Vacation, Sick, Personal, and Holiday Paid Time Off (PTO) can all be managed by the system. You can even create customized accruals. The system allows hours to accrue a flat amount yearly or per pay period. Hours can also be accrued every pay period based on actual hours worked. You can even specify maximum and end of year carry over limits.
Time Codes (Overtime, Holiday, On Call)
Daily & Weekly Overtime, and Holiday pay time codes are automatically detected and indicated by the system for those who qualify for special pay. You can even create customized time codes for employees to use on their timesheets.
Announcement Board
Announcements are a useful way to inform people of scheduling issues, upcoming events, policy changes, etc. Since announcements are posted on the first page employees see when signing in to their account, this can be an effective way to distribute information. Dates can even be specified to automatically post and unpost messages to the announcement board.
Customizable Reports
MyWorkHours.com provides a variety of report types including schedules, timesheets, accruals, time off requests, and announcements. Every report type is customizable, and once the report settings are customized to meet your specific needs you can save it for future use. You can even specify exactly who you want to include in each report and create reports for any date range you need.
Phone & Email Lists
Easy access to accurate phone and email information facilitates communication between managers and employees. MyWorkHours.com makes contact information readily available to both managers and employees.
Email Notifications
The MyWorkHours.com email notifications help to ensure that time off and trade shift requests are taken care of in a timely matter. They can even let people know when new weekly schedules are posted. Managers and employees can easily configure their sign in accounts to send notification emails when certain scheduling events occur. Emails are fully automated and require no additional effort on the part of managers or employees.
